Vacation Balance Estimate

Estimate remaining vacation hours, equivalent vacation days, and possible gross value from your starting balance, accrued time, and used time.

How the vacation balance calculator works

Enter your starting vacation balance, vacation hours accrued, and vacation hours already used. The calculator adds the starting balance and accrued hours, then subtracts used vacation.

If you enter hours per workday, the result also converts remaining vacation hours into estimated vacation days. If you enter an hourly rate, it shows a simple gross value estimate.

Vacation balance formula

Remaining vacation hours = starting vacation balance + vacation accrued - vacation used.

Remaining vacation days = remaining vacation hours / hours per workday.

Estimated value = remaining vacation hours x hourly rate, if an hourly rate is entered.

Example vacation balance calculation

Starting balance: 24 hours. Accrued: 16 hours. Used: 8 hours.

Remaining vacation balance: 24 + 16 - 8 = 32 hours. If one workday is 8 hours, 32 / 8 = 4 vacation days.

How to calculate vacation time

To calculate vacation time, first confirm whether your records are in hours, days, or weeks. Convert everything into hours using your normal workday length, then add new accrued time and subtract vacation already used.

If you need to estimate newly earned vacation first, use the vacation accrual calculator. If your balance is in days or weeks, the PTO conversion calculator can help convert units before you estimate payout or value.

How many days is 60 hours of vacation time?

If one workday is 8 hours, 60 hours of vacation time equals 7.5 vacation days.

Formula: 60 vacation hours / 8 hours per workday = 7.5 vacation days. If your normal workday is shorter or longer, use that number instead of 8.

Vacation balance vs vacation payout

Vacation balance estimates how much time may remain. Vacation payout estimates what unused vacation might be worth in dollars if payout applies. Use the vacation payout calculator after confirming the balance and checking your policy.

A balance is not a guarantee of payout. Payout can depend on state law, employer policy, employment agreement, separation type, payroll rules, and whether the balance is considered earned.

Vacation balance vs PTO balance

Vacation balance usually refers to a separate vacation bank. PTO balance may refer to a broader paid time off bank that can include vacation, personal time, and sometimes sick time.

If your employer uses a combined PTO bank, compare this page with the paid time off calculator and the PTO vs vacation pay guide.

Common mistakes

  • Using calendar days instead of workdays.
  • Mixing vacation, PTO, sick leave, personal days, or floating holidays without checking the policy.
  • Forgetting pending vacation requests that payroll has not posted yet.
  • Ignoring accrual caps, carryover limits, waiting periods, or manual adjustments.
  • Treating a gross value estimate as guaranteed vacation payout.

Frequently Asked Questions

How do I calculate my vacation balance?

Add starting vacation hours and newly accrued vacation hours, then subtract vacation hours already used.

How do I calculate vacation time in days?

Divide vacation hours by hours per workday. For example, 32 vacation hours divided by an 8-hour workday equals 4 vacation days.

How many days is 60 hours of vacation time?

If one workday is 8 hours, 60 vacation hours equals 7.5 vacation days. Use your normal workday length if it is not 8 hours.

Is vacation balance the same as PTO balance?

Not always. Vacation may be tracked separately, while PTO may be a broader bank that can include vacation, personal time, and sometimes other paid leave.

Can my vacation balance be paid out?

Possibly, but payout depends on state law, employer policy, agreement terms, and how the leave is classified. This balance calculator estimates time and possible value only.

Why does my employer's vacation balance look different?

Payroll systems may apply caps, carryover limits, waiting periods, rounding, pending requests, manual adjustments, or a different accrual date.

Does vacation balance include sick leave?

Usually not unless your employer uses a combined leave bank. Check whether sick leave, vacation, personal days, and PTO are tracked separately.
